Purchase Orders

Purchase Order Overview


Select the Purchase Orders section on the left menu to see an overview of current work orders. This will list the Purchase Order #, Vendor Contact, Vendor Company, and Date. Select the Eye Icon to open the details of the Purchase Order. The PO can also be marked as check or not by selecting the toggle on the left.

Search the purchase orders using the bar on the top left and create a new one by selecting Create Purchase Order on the top right. Purchase orders can also be filtered by a start and end date in the top of the section. Input dates and select Apply Filter. Select Clear to clear this filter.

View Purchase Orders

To view a Purchase Order, select the Eye icon to the right of the work order on the Overview page.

The top of the purchase order lists the date this was submitted, the vendor company, the vendor contact, who requested the purchase order, tax percentage, purchase order number, vendor address, shipping address, Approve toggle that lists who approved the PO, and the Approval Status.

Select the blue arrow to see contact details and the pencil in the top right to edit this Purchase Order.

The top section also lists a check mark if this PO is for a sub contractor and an area to link to a specific project.

Material and Purchase Order Totals

Type - Material

This section lists the items in the purchase order, part number, description, quantity, material unit price, material total, and a toggle to determine if item this is taxable or not.

On the bottom, you will see the material cost (including markups), tax amount, and a total amount for the work order.

The next section will list out the labor cost for the work order, material costs, tax amount, and a total for the purchase order.

Email, PDF, and Print Options

On the right, you will see bubbles labeled Email, PDF, and Print. The email option will allow you to email and cc contacts you have currently saved in the program. If selecting the Email option, you can select an email from your contacts and CC contacts from the drop down list. Select the Plus sign to add more contacts to this email.

The PDF button will generate a PDF of this purchase order. The Print option will print a copy of this purchase order for your records.

Edit or Create Purchase Orders

To create a purchase order, select Create Purchase Order on the overview page

To edit an existing purchase order, select the Pencil icon in the top right when viewing Purchase Order details

Adding or Editing Details

The dates and PO # will auto populate based on the creation date. Fill out or edit the associated Company, contact, tax percentage, vendor address, shipping address, and linked project.

Adding or Editing Materials and Equipment

Type - Material and Equipment

To add a new material, select the gray box at the bottom and then a new entry line will populate above it. Edit any previous entries in this mode as well by clicking into the white boxes.

Purchase order totals will automatically populate based on inputs.

Misc Labor

List Misc Labor costs in this area. Toggle if this is a taxable cost or not. Describe this labor expense in the box below.

List Misc Material costs in this area. Toggle if this is a taxable cost or not. Describe this material expense in the box below.

Memo and Documents

The bottom section lists an area for memos, as well as a document upload section. Select Upload New File to upload a file to this Purchase Order.

The Bottom will list Create Purchase Order or Update Purchase Order depending on if you are creating or editing this document. Select Cancel to move forward and not save any changes.
