Invoices Beginner Guide
Invoices Overview
Select Invoices from the menu on the left to see the overview of invoices.
Add Invoice
To add an invoice, select Add Invoice in the top right.
Search Invoices
Search current invoices using the search bar in the top left.
Invoice Details
Each invoice will have the following details on the overview page:
- Invoice number
- Purchase order number
- Company Name
- Client
- Value
- Date
- Actions
- Select the Eye icon to view details for this invoice
- Select the Trash icon to delete this invoice
View Invoice Details
View Invoice
Select the Eye icon to the right on an invoice on the overview page to see details of an invoice.
Invoice Details
Top Controls
The top of the invoice has four controls:
- Select the pencil icon to edit this invoice
- Link to a project using the drop down menu
- Push to Quickbooks. This will allow you to login and export to your QuickBooks account.
- Mark as Void for this invoice
Invoice Details
The top section of the invoice will list the following details:
- Invoice Date
- Company
- Company contact. Select the blue arrow to see the contact details.
- Tax percentage
- Invoice ID number
- Billing address
- Remittance Address
- PO#
- Toggle for Approval. This will list who approved it after toggled.
- Due Date
- Invoice status
- Payment Terms
Invoice Item Listing
Invoice Item Listing
Each invoice list will the following for each item:
- Item Category
- Item Name
- Description
- Quantity
- Unit Price
- Total Price
- Tax Toggle
Email, PDF, and Print options
The right side of the screen will list three circles: Email, PDF, and Print.
Email will pop up an input form to email employees or contacts this document. Select the Plus sign on the right to add more recipients. Select Send to send to the select recipients and Close to cancel the email.
Select PDF to down a PDF of the Expense for your records.
Select Print to print a copy for your records.
Invoice Totals
Totals section
The last section will list a subtotal for the invoice items, the applicable tax, and a total for the invoice.
Add or Edit Invoices
Add New Invoice
To add a new invoice, select Add Invoice from the overview page
Edit Invoice
To edit an existing invoice, select the pencil icon when you are on the details page
Invoice Details
The details included in the top section are:
- Invoice Date
- Company
- Contact
- Tax Percentage
- Invoice ID - this is automatically generated
- Billing Address
- Due Date
- Remittance address - this is automatically pulled from the company
- PO#
- Link to a Project
- Status: Not Paid, Partially Paid, or Paid
- Payment Terms
Invoice Item Listing
The next section lists the items in the invoice. Each item will list:
- Item Category
- Item Name
- Description
- Quantity
- Unit Price
- Total Price - this is auto calculated
- Toggle for if this item is taxable or not
- Trash icon to delete an item
Add new items by selecting the bottom grey bar. This will populate a new entry above.
Totals, Memos, and Documents
Totals
The next section will list the sub-total, tax, and total for the invoice.
Memo
The bottom section lists an area for memos related to this invoice
Documents
Select Upload New File to upload a file to this Purchase Order.
Other controls
The Bottom will list Create Invoice or Update Invoice depending on if you are creating or editing this document. Select Cancel to move forward and not save any changes.
